How is your firm pulling data to send organizers in batches? (CCH)
In prior years when we send organizers, we usually pull a data scan from CCH Tax to gather all the data we need to be able fill out the csv template to merge with the organizers. This data scan pulls information from the tax return and then we merge it with data that we pull from the route sheet in CCH. The only downfall with this method is the data scan variables we need to pull the report from CCH isn’t available until mid-January and that just puts a huge delay on getting everything prepped and sent out to our clients usually putting us getting organizers out late January. We are wanting to send out organizers for this upcoming tax season early January.
What are your firms doing to pull the information into the excel template for the SafeSend batch sending of the organizers? We also use this same method to pull the information for the mail merge for the engagement letters and statement of work that we send out to our entity clients.

Thanks for your feedback, Sherry! Do you use the 2024 data for the scan? Or do you wait until CCH datascan variables for 2025 are available (mid-January 2026) and then run the scan?
We always waited for the variable to be available and ran the scan on what was rolled so it would be the most up to date list of clients getting organizers. This year we are going to work off 2024 data so we can try and get organizers out sooner.
We use the prior year data.
